Add flights and transfers

Enter flights on the correct day, verify schedules, and build the arrival and departure transfers.

Quick Start → Flights, or Edit → Segments

Add a flight

  1. Turn on Inbound flights for arrival flights, or open the day of an in-trip or return flight.
  2. Select Add Flight.
  3. Enter the flight code as the airline shows it.
  4. Select Verify to fill in the airports, times, and time zones.
  5. Compare the result with the ticket or supplier schedule.
  6. Set the check-in duration and disembark duration.
  7. Save.

Use Day 0 for an overnight inbound flight that departs the day before Day 1.

A flight marked Unverified keeps the details you entered. Check them against the airline schedule.

For each flight, confirm the airline, flight number, both airports, local departure and arrival dates and times, both time zones, and the duration.

Airlines change schedules. Recheck flights during preparation and on the departure day.

Add a transfer

  1. Add a Transfer segment to the day.
  2. Give it a clear title, such as “Airport to hotel transfer”.
  3. Choose the start and end locations and the travel mode: car, bus, train, on foot, bicycle, or other.
  4. Set the start time and duration.
  5. Add meeting point, luggage, vehicle, and supplier notes.
  6. Assign the responsible field staff or partner.
  7. Mark whether the transfer needs a supplier booking and whether travelers see it.

Check the arrival and departure sequence

Read the segments around each flight as one sequence:

  1. departure from the hotel or meeting point;
  2. transfer and buffer;
  3. check-in;
  4. flight;
  5. disembark, immigration, and baggage;
  6. transfer and hotel check-in.

Adjust start times and durations so there are no gaps or overlaps.

If a flight changes

Update the flight segment, then review the transfers, residence nights, staff assignments, traveler messages, and preparation tasks that depend on it. Select Sync monitoring for the trip in All Tours.

Every flight is verified or checked against the airline, and each arrival and departure forms one realistic sequence.
