Configure currencies and exchange rates
Set your organization currency, choose how each exchange rate is maintained, and collect a tour payment in another currency.
Before you begin
- Organization administrator access to change currency settings
You will learn to
- Choose a default currency
- Maintain and review exchange rates
- Understand cross-currency payments and reporting
Reviewed October 2026
Choose the three currencies
| Currency | What it controls |
|---|---|
| Default and reporting currency | The default for prices without their own currency and the currency used by estimated Finance totals |
| Tour Currency, in the trip’s Payments workspace | Advertised prices, sales, installments and the remaining tour balance |
| Charge currency, in the trip’s payment collection settings | The amount and currency sent to the payment provider when cross-currency collection is enabled |
For example, your organization can use ILS, price a tour in EUR, and collect ILS. A EUR 100 payment at a fixed rate of 3.90 charges ILS 390 and settles EUR 100 of the sale. Later rate changes do not change that completed payment.
An empty currency means your organization default; it is not an error. Organizations without currency configuration continue with the existing USD default and same-currency collection.
Changing the organization default also changes the effective currency of old prices that never had a currency selected. Review those prices first. Prices and completed payments with a saved currency keep it.
Set up a currency pair
- Select Add currency pair.
- Choose From, To and Rate source.
- Leave Enabled on for a direction you want maintained.
- Select Save currency settings before testing or updating a rate.
Each direction is separate. EUR → ILS does not configure ILS → EUR. The list shows the current rate, review items and history beside each enabled configuration. Other currencies and past rates retains history for pairs without update settings; history alone does not mean a pair is enabled.
Managed by Monitouring
Choose Managed by Monitouring for routine automatic rate updates. Monitouring maintains the source and update timing; no refresh schedule is needed from you. Update rate requests an update now.
Approve the first automatic rate before it is used. Later rates that pass the checks can become current automatically. These are reference rates, not a promise of the rate your bank or provider will use for its own settlement or fees.
Manual entry
Choose Manual entry, save the settings, then select Update rate beside the current value. Enter the rate for one unit of the From currency, a note and a valid-until date. Save the new value and check the displayed current rate.
A valid manual rate takes effect immediately. Its expiry determines how long it can be used for new conversions. Automatic observations do not replace an active manual override. Existing payments retain their fixed rate after the override expires or is revoked.
Webpage extraction
Choose Webpage extraction and enter:
- Webpage URL: the exact HTTPS page containing the published rate.
- What should we extract?: the currencies, direction, units and date to read. For example: “Read how many ILS equal 1 EUR and the publication date. Copy the exact published rate evidence.”
- Update every (minutes) and, if needed, Update at with its Timezone.
Save the settings and use Test extraction. A preview does not save or activate the rate. Check the value, direction, units and source date before selecting Update rate or relying on scheduled updates. Safe updates can become current automatically after the first baseline has been approved.
Webpage extraction may be inaccurate. We recommend Managed by Monitouring. A website can change its layout or wording; a successful test does not guarantee future accuracy. Tests and updates share the organization's AI usage allowance.
Set rate safeguards
Expand Rate safeguards to set Maximum rate age (hours), Review change above (%) and Review 24-hour change above (%). These checks apply to automatic updates. Keep limits appropriate for your payment workflow: a rate that is too old is unavailable for new conversions, even if no unusual update has arrived. Manual entries also have their own Valid until date.
Review an unusual rate
An automatic rate that needs review does not replace the previous usable rate. Open the exchange-rate notification or return to Settings → Payments → Currency. Compare the candidate with its source, then choose Approve or Reject.
The previous rate continues to serve conversions while it remains valid. If there is no usable rate, only new payments needing that conversion are unavailable; same-currency payments and settlement of already prepared payments continue.
Revoke in rate history stops that rate being used for new conversions. It does not undo a payment or refund, or change their saved rate. Removing pair settings stops future updates without erasing its history.
Enable cross-currency collection
Turn on Allow payment in another currency only when your provider supports the charge currency and the required directional rate is ready. Save the settings, then set Charge currency in the trip’s Payments workspace. If left empty while conversion is enabled, it uses the organization default. With cross-currency collection off, payment collection stays in the tour currency.
Travelers see the tour price in tour currency. Before continuing to the provider, they confirm the tour amount, actual charge and fixed exchange rate. The amount credited to an installment stays in tour currency.
Show currency conversion details is off by default. Turn it on to also show the fixed-rate details on the payment page. Turning it off does not remove the mandatory confirmation before a converted payment.
Room prices and Finance estimates
Room configurations have their own optional Room price currency. Leaving it empty uses the organization default. When a room is added or its prices are changed in a tour with another currency, choose Convert, Keep original or Cancel. Conversion uses your current accepted directional rate and changes the tour copy, not the saved residence template.
In Finance → Payment collection → Status, choose Actual currency to see sale balances in their original currency and money received in the currency collected. Estimated organization currency combines covered values using current accepted rates; estimates can change, but recorded payments do not. Missing conversion coverage is disclosed rather than silently included. Use Period to select month to date, last month, all time or custom dates.
