Trip Preparation
- Trip Preparation now gives operators one coordinated view of bookings, traveler readiness, tour materials, and operational work while keeping each underlying subsystem authoritative.
- Traveler Checklists define the preparation required from each traveler, with clear completion reasons for passport validity, accepted agreements, settled payments, and operator-confirmed items.
- Passport readiness now requires validity through six calendar months after the tour ends.
- Readiness is calculated by the backend and shared consistently between operators. Operators can force a complete refresh when they need the latest result immediately.
- Manual completions are recorded with the responsible operator and time, and automatic checks explain exactly what remains unresolved.
Operations Templates And Materials
- Reusable Operations templates can include a Traveler Checklist and a structured Materials Package, allowing a complete pre-departure process to be applied to a tour in one action.
- Each tour has one materials-package snapshot whose requirements reference the existing file library and tour vault.
- Materials readiness verifies that required files remain usable and available to the intended traveler, staff, or partner audience.
- Operations tasks now describe how completion is determined in plain language and no longer expose unused category or owner fields.
DMC And Partner Collaboration
- Operators can prepare attributed private links or use connected partner accounts for DMC program review, then see objective first-access evidence without treating access as business completion.
- Assigned DMC partners can download their current rooming list and continue to confirm, decline, or amend assigned items through the portal.
- Changes to travelers or room assignments can produce one consolidated partner update after a short debounce period. This notification starts disabled and must be explicitly enabled in the organization’s automatic-email settings; Mail review still controls whether generated mail is held for approval.
- Moving a tour date shifts unchanged hotel dates by the same amount while preserving dates that were explicitly edited.
Traveler And Operator Messaging
- Operators can compose personalized messages for selected travelers, preview the branded result, and see whether each message was submitted for review, queued, skipped, or failed.
- Review invitations, rooming updates, traveler messages, and manual hotel outreach all use the shared mail review and outbox boundary.
- Traveler agreement requirements are shared between the portal form and readiness calculation so both surfaces evaluate the same obligations.
Reliability And Security
- Completion, readiness publication, and portal-access evidence are backend-authored and protected by dedicated Firestore rules.
- Billing, traveler, tour, DMC, file, and agreement changes mark affected readiness results for recalculation without allowing preparation bookkeeping failures to block the primary business action.
- A bounded background scheduler refreshes dirty and time-sensitive preparation results, while reminders use only current backend verdicts.
